Cancellation of the conference
In the event that the conference cannot be held or is postponed due to events beyond the control of the conference organisers (force majeure) or due to events which are not attributable to wrongful intent or gross negligence of the conference organisers, the conference organisers cannot be held liable by delegates for any damages, costs, or losses incurred, such as transportation costs, accommodation costs, costs for additional orders, financial losses, etc.
Under these circumstances, the conference organisers reserve the right to either retain the entire registration fee and to credit it for a future conference, or to reimburse the participant after deducting costs already incurred for the organisation of the conference and which could not be recovered from third parties.
It was decided early on by the EuroSEAS secretariat and the French constituency that the EuroSEAS 2022 conference will be organized as an on-site event, noting that we would shift toward the hybrid option only if the French authorities imposes strict restrictions for on-site participation (i.e. limitations of the allowed number of participants, heavy restrictions on borders). According to the current situation in France, we are confident that the on-site event is possible.
At this time, an on-site event remains the best option for the future of the association. A hybrid scenario entails very different logistical arrangements and a different economic model, especially in terms of structure of costs and fees. We are thus cautious about offering a hybrid option that could, in the long term, threaten the very possibility to organise EuroSEAS conferences. If the situation requires a shift toward the hybrid option due to Covid 19 restrictions, we will then duly and promptly propose different registration fees depending on participation formats.
For the 2022 conference, individual online participations can be exceptionally considered with the agreement of the panel conveners and local organisation. This will concern in priority researchers based in and from Southeast Asia who cannot travel due to Covid regulations. Please note that, the conference being organised as a mainly on-site event, different registration fees for online participation should not be expected for the time being. All enquiries should be sent to the local organizers in Paris: firstname.lastname@example.org.
Modification of the programme
The conference organisers reserve the right to modify the programme. No refunds can be granted in case of cancellation of speakers, lack of space in the conference room or any other incidents during the conference which are beyond the control of the conference organisers

Letter of invitation
Individuals requiring an official Letter of Invitation from the conference organisers can request one through the online registration form or by contacting the EuroSEAS secretariat. To receive a letter of invitation, participants must first register to the conference, submit any necessary data and a paper abstract.
The letter of invitation does not financially obligate the conference organisers in any way. All expenses incurred in relation to the conference, the registration and the attendance are the sole responsibility of the participant
